Privacy declaration

Latest privacy declaration update: 09.05.2019

Since we at AVEVE Biochem are keen to ensure careful and proper handling of the personal data of our customers, suppliers, website users and other business partners this privacy declaration is intended to inform you about how we will handle these personal data.

 

1​ Who is responsible for processing the data?

AVEVE BIOCHEM NV (hereinafter referred to as ‘AVEVE Biochem’), located at Eugeen Meeusstraat 6, 2170 Merksem, Belgium, with enterprise number 0521.849.211, is the party responsible for the processing of the personal data as described in this privacy declaration.

A data protection officer has been appointed in the group of enterprises to which AVEVE Biochem belongs. The said officer supervises the protection of your personal data. You can contact the data protection officer at privacy@arvesta.eu.

 

2​ Which personal data do we process?

2.1​ Which personal data do we collect from customers and prospects?

Which personal data?

We can collect the following personal data: name, title, address, email address, delivery addresses, company number, VAT number, mobile/telephone number, fax number, language, type of industry, bank account number, purchase data (purchased products, price, quantities, time of purchase), business data (product interests, size,…). Furthermore we can collect the name, email address, position, mobile/telephone number and email address of the contact persons of the company.

We have obtained the above mentioned data:

  • From you, via sales talks, purchase orders, contracts, information provided through contact forms on our website, commercial campaigns;
  • From your website, folders,…;
  • From publicly available information (such as the website of the National Bank, Belgian Official Gazette, telephone directory, Crossroads Bank of Enterprises,…);
  • From other companies to which AVEVE Biochem belongs. You can find which companies these are at www.arvesta.eu.

For which purposes do we process your personal data?

We use your personal data in the first place to ensure that our commercial relation runs smoothly and to perform our contractual commitments correctly. This means that we use your data to keep a customer/prospect administration, to receive and process purchase orders, to deliver products, to draft and send invoices and communicate about deliveries and invoices and to conduct credit management (follow up unpaid invoices and send reminders). We process data for these purposes because this is necessary to fulfill our obligations arising from the contract we have with you. We carry out the administration and credit management on the basis of our legitimate interest to do so.

Furthermore we might be legally obliged to process your data (legal obligations arising from tax- and accounting laws, food safety legislation,…)

Thirdly we analyze which products you have purchased and in which products/services you are interested in order to adjust our assortment and to tailor our communications to you based on your preferences and purchases. In addition, we also perform (statistical) analyses  in order to be able to improve our operations, services and products. The legal basis for this processing is our legitimate interest.

If you gave your explicit consent to do so, we can also process your data to send you electronic newsletters about our products, promotions, services, events,… In order to make these mailings more relevant for you, we evaluate your purchase data and your interests. If you no longer wish to receive these newsletters, you can revoke your consent at any time and without any costs. In every newsletter there is a link which you can use to unsubscribe. Furthermore you can also revoke your consent by contacting us (read title 5 to know how). We can also send you similar communications by regular post, on the basis of our legitimate interest.

How long do we store your data?

We do not keep the data longer than necessary for the realization of the aforementioned purposes. As soon as your data is no longer needed, it will be deleted.

Which personal data?

We can collect the following personal data: name, address, email address, company number, VAT number, mobile/telephone number, fax number, language, website, type of industry, bank account number. Furthermore we can collect the name, email address, position, mobile/telephone number and email address of the contact persons of the company.

We have obtained the above mentioned data:

  • From you, via personal conversations (by telephone), purchase orders, contracts, information provided through contact forms on our website;
  • From your website, folders,…;
  • From public information sources (such as the website of the National Bank, Belgian Official Gazette, telephone directory, Crossroads Bank of Enterprises,…);
  • From other companies to which AVEVE Biochem belongs. You can find which companies these are at www.arvesta.eu.

For which purposes do we process your personal data?

We process data for these purposes because this is necessary to fulfill our obligations under the contract we have with you. We carry out the administration and evaluation on the basis of our legitimate interest to do so. 

Furthermore we might be legally obliged to process your data (legal obligations arising from tax- and accounting laws, food safety legislation,…)

How long do we store your data?

2.3​ Which personal data do we process via our website?

Contact form

You can contact us via our online contact form on our website. If you do this, we will collect your name, email address and of course the question you asked or the information you requested.

We have a legitimate interest to collect the information that you provide in order to respond to your message. We do not keep this data longer than necessary to answer your questions or to provide the information you have requested.

Newsletters

If you sign up to receive our newsletters with information regarding our products, services, events, company news,… we will use the data which you have provided to us to send you the newsletters. The data which we use for this purpose is your name, company, email address and the species in which you are interested. 

We send the newsletters based on your consent. If you no longer wish to receive these newsletters, you can revoke your consent at any time and without any costs. In every newsletter there is a link which you can use to unsubscribe. Furthermore you can also revoke your consent by contacting us (read title 5 to know how).

 

3​ Do we sell or pass along your personal data to third parties?

Under no circumstances do we sell your data to third parties. 

We may share your data with the following parties so that we can provide our service and within the scope of the aforementioned processing purposes:

  • The companies in the group of companies to which AVEVE Biochem belongs. This is to centralise the customer- and supplier administrative service. You can find which companies these are at www.arvesta.eu;
  • Third parties supporting and executing our service provisions (such as cloud providers, data centres, transport services and software providers for example).  We have concluded agreements with these parties, so that the protection of your data is guaranteed;
  • Government and government institutions: to comply with our legal obligations (arising from accounting- and tax laws, food safety regulations,…).

Furthermore, in exceptional circumstances disputes and other incidents can also lead to your personal data being shared with the police and other judicial bodies. Among others; lawyers’ firms, collection offices, bailiffs, insurance companies or banks can gain access to a part of your personal data, yet only where this is necessary to assist us in handling a file, carry out projects, etc.

 

4​ How do we protect your personal data?

The services use various security techniques and procedures to ensure that your data are protected against matters such as illegitimate access, unlawful use, loss or illegitimate changes. In this way, we store the personal data that you have provided in databases, information systems and servers that are only accessible to authorised personnel or contractors who must know these data to process them for us. Moreover, our personnel have been briefed on the privacy declaration and on all the applicable internal guidelines issued to protect your personal data. In addition, they are obliged to respect the confidentiality of your personal data.

 

5​ How can you ask us a question or exercise your rights?

You have the right, at any time and at no cost, to request access access to the personal data that AVEVE Biochem collects about you. Furthermore you also have the right to have incorrect, inappropriate or outdated personal data erased or rectified. You also have the right in certain cases to request us to cease the use of your personal data for a specific type of processing. Finally, you have the right to object to a specific type of processing of your personal data. 

If you no longer wish to receive emails or personally addressed post mailings with, among other things, product information, promotions, advice, info about events, news about AVEVE Biochem, … you can easily unsubscribe from our mailing list. If you no longer wish to receive emails, you can unsubscribe via the unsubscribe link at the bottom of the e-mails. You can always contact us for unsubscribing to emails or to personally addressed mail via the email address mentioned below.

To exercise your rights, you must send your request by post or by e-mail to AVEVE Biochem via privacy@avevebiochem.com or via the address mentioned under title 1.

To prevent any improper publication of your personal data, we ask you to include the following information in your request: full name, address, e-mail address, a copy of the front of your identity card and a clear description of your request. 

We have one month’s time to answer your request. Take into account the fact that this period only begins when we receive your dated and signed written request by post, electronically or at our offices and when we have received all of the information necessary to fulfil your request.

If, in your opinion, we have not handled your request appropriately, please contact the Customer Service Department according to the above information. This way we can search together with you for an appropriate solution. If this does not produce the desired result and we do not react to or we deny your request, you have the right to submit a complaint to the supervisory authority in the country where you normally reside. For Belgium, that is the Belgian Data Protection Authority.

 

6​ Changes to this declaration

If we make any changes to this privacy declaration, the amended declaration will be published here with a statement of the date of revision at the top.
